LEDCARTS · RENTAL POLICIES
Rental Terms, Safety & Equipment Responsibility
Please review before requesting equipment. These terms explain important safety and responsibility expectations. Your approved rental agreement or written quote will confirm the final booking-specific terms.
1. Availability and booking confirmation
Submitting a rental inquiry does not reserve equipment or create a paid booking. All dates, equipment, quantities, delivery arrangements, and prices are subject to written confirmation by LEDCarts. A reservation is not confirmed until LEDCarts approves it and any required deposit is successfully received and verified.
2. Safe operation and placement
Renter agrees to follow setup and operating instructions provided by LEDCarts and the manufacturer; use the equipment only for its intended event-display purpose; keep it stable and away from stairs, exits, water, excessive heat, combustible materials, and high-traffic hazards; and keep cables secured to prevent trips. Do not modify wiring, bypass safeguards, overload circuits, open housings, or relocate equipment without LEDCarts authorization. Stop using equipment immediately if it appears damaged, overheats, sparks, malfunctions, or presents a safety hazard, and contact LEDCarts. In an emergency, contact emergency services first.
3. Supervision, access and venue compliance
Renter is responsible for providing lawful site access, an appropriate operating environment, reasonable supervision and security, and any venue approvals needed for delivery and use. The renter should notify LEDCarts of venue rules, restricted loading access, placement limitations, electrical availability, and changes to location or event schedule before delivery.
4. Damage, loss and theft
Notify LEDCarts promptly if equipment or accessories are lost, stolen, damaged, vandalized, or involved in an incident. Preserve relevant details and, for suspected theft, report the incident to venue security and, when appropriate, law enforcement. Subject to applicable law and the signed rental agreement, the renter may be responsible for reasonable repair or replacement costs for loss or damage during the agreed custody period, excluding ordinary wear and tear and loss or damage caused by LEDCarts. LEDCarts should document the condition and provide a reasonable explanation of any assessed charges. A deposit is not automatically a cap on responsibility.
5. Returns, pickup and late access
Make equipment and supplied accessories available for pickup at the agreed place and time in substantially the condition received, allowing for ordinary wear. Inform LEDCarts promptly about access delays or schedule changes. Any approved extra rental days, late access fees, or additional services must be disclosed and confirmed under the booking agreement. LEDCarts’ standard rental period is 3–14 days, with additional days beyond the first three currently priced at $250 per day, subject to the final quote and product terms.
6. Payment, deposits and balance
For approved bookings, LEDCarts expects a 50% initial deposit and a 50% remaining balance unless a written booking agreement states otherwise. Payment instructions will be sent only after availability review. No payment is collected when you submit an availability inquiry. Any remaining balance, refund, cancellation, damage charge, or dispute is handled under the applicable confirmed agreement and law.
7. Injuries, damage to property and incidents
Renter must report equipment-related incidents promptly and take reasonable steps to prevent further harm. Each party remains responsible to the extent required by applicable law and the final rental agreement. Nothing on this page waives rights or remedies that cannot legally be waived, or excuses negligence or misconduct where liability cannot lawfully be excluded.
8. Changes, cancellation and uncontrollable events
Changes to dates, venue, equipment, or rental length require LEDCarts confirmation and may affect availability or pricing. Specific cancellation, refund, weather, venue-access and force-majeure provisions should be set out in the final booking agreement before payment.
9. Privacy and contact
Information entered with a rental request is used for inquiry processing, scheduling, communication, and—if approved—fulfilling the booking. Please also read our Privacy Policy. Contact LEDCarts through the contact information on this website to report a safety issue or discuss any of these terms.
Important: This page provides preliminary rental terms and safety disclosures; it does not replace a final written rental contract. By submitting an inquiry you acknowledge reviewing these disclosures, but you do not commit to renting or paying until a booking is separately confirmed.
